Terms of Service

1. Acceptance of Terms

By logging into and using the KovaHub Staff Portal ("the Platform"), you confirm that you have read, understood, and agree to be bound by these Terms of Service ("Terms"). If you do not agree with any part of these Terms, you must not use the Platform.

These Terms apply to all users of the Platform, including staff members, administrators, and the owner. Kova reserves the right to update these Terms at any time without prior notice.

2. Access and Eligibility

Access to the Platform is restricted to individuals who have been explicitly granted access by an authorised administrator or the owner of Kova. Unauthorised access is strictly prohibited.

• You must have a valid Discord account to access this Platform.
• Your access is tied to your Discord user ID and may be revoked at any time.
• You must not share your login credentials or provide access to any unauthorised individual.
• You are responsible for all activity that occurs under your account.

3. Platform Use

The KovaHub Staff Portal is intended solely for the internal management and coordination of Kova staff operations. Permitted uses include:

• Viewing staff rosters, roles, and statistics.
• Managing staff Robux payouts and accumulation records (admin and owner only).
• Recording and reviewing staff activity logs, warnings, and commendations.
• Submitting and reviewing task logs, points, and quota progress within active task periods.
• Submitting and reviewing staff applications, leave of absence (LOA) requests, and notices.
• Completing training modules and reading and signing staff policies.
• Viewing staff and public documents.
• Connecting your Roblox account for identity verification purposes.
• Sending and receiving email through Kova Mail, if you have been given an @kovahub.org mailbox.
• Taking courses in Kova Academy (learn.kovahub.org), taking Kova Certifications exams, and viewing and sharing certificates you have earned.
• Managing platform access, permissions, and user roles (admin and owner only).
• Configuring and using the connected Discord bot, including announcements, updates, modmail, reminders, and reaction roles (where permitted).

You must not use the Platform for any purpose other than those listed above. Misuse of the Platform, including but not limited to manipulating records, falsifying information, or attempting to gain unauthorised access, will result in immediate removal of access.

4. Staff Conduct

As a staff member of Kova, you are expected to conduct yourself in a professional and respectful manner at all times. By using this Platform, you acknowledge that:

• Information recorded on this Platform, including log entries and payout records, is official and may be used in administrative decisions.
• Log entries issued against you are made in good faith by authorised personnel.
• Disputes regarding log entries or records should be raised with an administrator or the owner directly, not through tampering with Platform data.
• Your staff role and status may be updated at any time at the discretion of Kova leadership.

5. Roblox Account Verification

The Platform offers optional Roblox account verification via Roblox OAuth. By connecting your Roblox account, you agree that:

• Kova will access your Roblox username, user ID, group membership data, and avatar image.
• You must be a member of the official Kova Roblox group (ID: 13510248) to successfully verify. If you are not in the group, verification will be declined and you will be prompted to join.
• Your Roblox user ID must match the ID registered on your staff profile. Mismatches will be flagged for administrator review.
• Your Roblox group rank within the Kova group will be fetched and displayed on your profile, and may be refreshed periodically.
• Your Roblox avatar headshot will be fetched and displayed on your profile and in the staff directory.
• This information is used solely for identity verification and staff management and will not be shared with third parties.
• You may disconnect your Roblox account at any time from your profile page.

6. Discord Bot and Communications

The Platform operates a connected Discord bot that interacts with you through Discord. By using the Platform and remaining in the Kova Discord server, you acknowledge that:

• The bot may send you direct messages for staff notifications, announcements, platform updates, task and request updates, reminders you create, new email in your Kova Mail inbox, changes to your mailbox, certificates you earn or that are revoked, and similar staff-management purposes.
• You can manage which subscribable direct messages you receive from your dashboard. Some notifications that are essential to staff operations may not be optional.
• If you use the modmail feature to message staff via the bot, the contents of that conversation are recorded and stored as a log accessible to authorised administrators.
• Reminders you create are stored until they are delivered, and their contents are visible only to you and to administrators with database access.
• You must not misuse the bot, including spamming commands, attempting to bypass command permissions, or using features to harass others.

7. Kova Mail

Some staff members are given an @kovahub.org email address (“mailbox”), used through the Mail section of the Platform. If you have a mailbox, you agree that:

• Your mailbox, its address, and every email in it belong to Kova. It is provided at Kova’s discretion and only for as long as you are a member of Kova staff.
• You will use it for Kova business and follow the Kova Email Policy, which you will be asked to read and sign in the Policies section of the Platform.
• You must not use it to send spam, phishing, malware, or unlawful, abusive, or misleading email, to impersonate anyone, or to make agreements or payments on Kova’s behalf unless you are authorised to.
• Email to addresses outside Kova shares a daily sending limit across all of Kova. Email may stop sending for the rest of the day once that limit is reached.
• If you stop being a member of Kova staff, you lose your mailbox. When you are marked as terminated, resigned, or blacklisted, your mailbox is switched off straight away and you can no longer sign in, send, or receive email. 30 days later the mailbox and every email in it is permanently deleted. Kova does not provide copies or exports of a mailbox.
• Kova may switch off or delete a mailbox at any time, including for a breach of these Terms or the Email Policy.

8. Kova Academy and Kova Certifications

Kova Academy lets staff, and people outside staff whom Kova invites (“learners”), take courses and, where a course has one, a final exam. Passing an exam earns a certificate. By taking a certification exam, you agree that:

• The exam is your own work. You must not get help from other people, share or copy exam questions or answers, use another person’s account, or try to get around the time limit or exam rules.
• Exams are marked automatically by Kova’s server. Results, waiting times between attempts and pass marks are set by Kova, and Kova’s decision on a result is final.
• Your certificate is issued to the Roblox account linked to you. Its verification page at kovahub.org/certificates is public to anyone with its ID and shows your Roblox display name, username, user ID and avatar, the certification and its dates and status.
• Certificates may expire after the period shown for each certification. Kova may revoke a certificate at any time, including if it was earned by breaking these rules or it was issued by mistake. A revoked certificate shows as revoked on its verification page.
• A certificate shows that you passed a Kova exam on the date shown. It is not a qualification from any official body.
• Course material is Kova’s. Don’t copy it or share it outside Kova without permission.
• Learners can only use Kova Academy, and Kova may end a learner’s access at any time. Certificates already earned stay valid unless revoked.

9. Payout Records

Robux payout records displayed on this Platform are managed by authorised administrators. By using the Platform, you acknowledge that:

• Payout figures are tracked and updated by Kova administrators and may be adjusted at their discretion.
• A payout reset indicates that payment has been processed for the accumulated balance at that time.
• Kova is not obligated to process payouts on a fixed schedule unless otherwise agreed.
• Disputes regarding payout amounts should be raised directly with an administrator.

10. Termination of Access

Kova reserves the right to suspend or permanently revoke your access to the Platform at any time, for any reason, including but not limited to:

• Violation of these Terms of Service.
• Termination, resignation, or blacklisting from Kova staff.
• Misuse of Platform features or data.
• Any conduct deemed harmful to Kova or its community.

Upon termination of access, your profile data will be retained in accordance with our Privacy Policy. If you had a Kova Mail mailbox, it is switched off and later deleted as described in section 7. Certificates you earned stay valid unless Kova revokes them.

11. Disclaimer of Warranties

The Platform is provided "as is" without warranties of any kind. Kova makes no representations regarding the accuracy, reliability, or availability of the Platform. We reserve the right to modify, suspend, or discontinue the Platform at any time without notice.

12. Limitation of Liability

To the fullest extent permitted by applicable law, Kova shall not be liable for any indirect, incidental, or consequential damages arising from your use of, or inability to use, the Platform.

13. Governing Law

These Terms are governed by and construed in accordance with applicable law. Any disputes arising in connection with these Terms shall be handled at the discretion of Kova leadership.
